Mass Mailing
What is it for?
The Mass Mailing module allows sending emails to groups of guests. It is based on two elements: the template (the reusable content of the email, created once and reused) and the campaign (the actual send to a group of recipients, which uses a template). To access it, choose Mass Messaging → Email from the side menu.
ℹ️ Mass Mailing is the email channel. Mass sending via WhatsApp and SMS is managed in the dedicated Mass WhatsApp and Mass SMS sections.
From this section it is possible to:
- create and send campaigns with a 4-step wizard;
- create and manage email templates with the drag-and-drop editor;
- consult the statistics of sent campaigns.
Creating a campaign
From the campaign list click New campaign. Creation is guided by a 4-step wizard: Information → Template → Translations → Review. There is no need to do everything at once: the campaign is saved as a draft at every step (and with the Save draft button), so it can be closed and resumed at any time.

Step 1 · Information, consent and recipients
- Sender name: the name the recipient will see as sender (e.g. the property name).
- Reply-to email: the address that will receive any replies (optional).
- Subject: the email subject; beyond the recommended 70 characters the counter turns yellow.
- Campaign language: the language the campaign is written in, the base for translations.
Privacy and consent: choose between Only contacts with marketing consent (the recommended, GDPR-compliant choice) and All contacts with a valid email.
Recipients: All contacts or a CRM Segment (a group already defined in the CRM). A real-time estimate of the recipients appears as you go; unsubscribed contacts and invalid addresses (hard bounce) are excluded automatically.

Step 2 · Choosing the template
The email content is chosen among the available templates, shown in a grid with search by name. Three options:
- use an already created template, by clicking its card;
- create a new one with New template (see the dedicated chapter);
- customise a copy just for this campaign with Personalize: the card shows the Customised badge and Reset returns to the original template.
Each template can be previewed before choosing.
Step 3 · Multilingual translations
Here the email is prepared in the guests' languages. Languages already translated are marked with a green check. Select the desired languages and click Translate with AI; then correct manually where needed: the original text on the left, the editable translation on the right. A badge shows whether a translation is AI (automatic) or manually Edited; the AI version can always be restored. If the base content changes after translating, the affected languages are flagged as out of date (⚠) and Realign updates them.
Which language does each guest receive? The system chooses automatically, in this order:
- the guest's language, if it is among the selected and translated ones;
- otherwise the property's fallback language (set in Settings → Location), if available;
- otherwise the campaign's base language (the one from Step 1).
ℹ️ A language not selected in this step will not be used in the send, even if it was previously translated: select all the languages to make available to guests.

Step 4 · Review and send
- Summary and credit: sender, subject, target, template, number of recipients and available credit; insufficient credit is highlighted in red.
- Pre-send checklist: verifies everything is in place; until it is complete, the send buttons stay disabled.
- Anti-spam check: analyses the content and returns a score out of 10 with notes; issues can be fixed or you can Proceed anyway.
- Sending: Preview (rendered template, desktop/mobile and per language), Send preview (test email to max 3 addresses, one every 30 seconds), Send now (with confirmation) or Schedule send (future date and time, at least 15 minutes ahead).

✅ Before a mass send, always send a test preview to yourself and check the anti-spam verification.
Creating templates
Templates are reusable emails, built with a drag-and-drop editor (Stripo): the email is composed by moving content blocks, without writing code.
⚠️ The template editor is only available on desktop, not on smartphones.
From the campaign list click Manage templates: for each template the actions Preview (with Desktop/Mobile toggle), Edit, Duplicate and Delete.
⚠️ Deletion is protected: if the template is used in scheduled or running campaigns it is blocked; if it is only used in drafts, a warning appears before proceeding.

With New template the editor opens: the Template name is required (internal only), while the email subject is not set here but in the campaign (Step 1). The email is built with blocks: first a structure (the row layout), then the content blocks inside it (text, image, button, divider...); clicking a block edits its content and look, and the general settings control background, fonts and colours. The Desktop/Mobile toggle checks the rendering on both devices.
With the placeholders of the GuestRM group you insert data that changes per recipient — among others [[firstName]], [[lastName]], [[fullName]], [[email]], [[locationName]] — plus [[unsubscribe_url]] (unsubscribe link) and [[view_online_url]] (view online).
⚠️ The unsubscribe link is required by law: without the [[unsubscribe_url]] placeholder, saving is blocked. A new template already includes it: it can be moved or restyled, not removed.
Campaign statistics and statuses
For sent campaigns the Statistics page is available, with the metrics Sent, Delivered, Bounce rate, Unique opens, Open rate, Unique clicks, CTR, Unsubscribed, Hard bounce and Spam reports, in Detail or Charts view.
Campaign statuses are Draft, Scheduled, Processing, Sent and Error; a campaign in Error can be brought back to draft with Reset to draft, and duplication is available in every status.
